RECORDS CLERK (Part-Time) MONROE TOWNSHIP POLICE DEPARTMENT

GENERAL DESCRIPTION: 

Part-time position to work in the Records Division of the Monroe Township Police Department. Under direction, work involves responsibility for varied types of clerical duties such as typing, filing, speaking with the public, preparing reports, keeping records, data entry and preparing discovery / required reports for other agencies.  This position requires strong organizational skills, computer skills, ability to multi-task and to communicate courteously and effectively. Performs other related duties as required.

DUTIES MAY INCLUDE BUT ARE NOT LIMITED TO: 

·         Typing, filing, speaking with the public, preparing reports, keeping records, data entry, preparing discovery and required reports for other agencies;

·         Receive, review, process and assure proper routing of information received from police personnel, such as:

o   Criminal investigations, arrest and motor vehicle accident reports;

o   Motor vehicle summonses;

o   Warrants, summonses, restraining orders and subpoenas;

o   OPRA, discovery requests and pertaining documents;

o   Photographs and other case documentation materials;

o   Equipment and operator certifications;

·         Provide customer service when requested in person or via mail / telephone;

·         Accurate filing and retrieval of all material and maintenance of all files;

·         Provide support to coworkers when necessary;

·         Performs other related duties as required

QUALIFICATIONS:

KNOWLEDGE AND ABILITIES:

·         Excellent Customer Service skills;

·         Knowledge and ability to utilize computers and software such as MS Office (i.e., Excel, Word, Outlook, QED-Computer Aided Dispatch), with ability to adapt to updates and enhancements;

·         Ability to type with sufficient speed and accuracy;

·         Ability to compose correspondence and reports using appropriate grammar, symbols and mathematical computations;

·         Ability to learn and obtain working knowledge of coworkers’ responsibilities to assist when needed;

·         Ability to be entrusted with and maintain confidential and / or sensitive information;

·         Ability to adhere to prescribed rules and regulations and other prescribed routines and practices;

·         Ability to function under pressure such as time limitations or intense public interest;

·         Ability to accept direction and function cooperatively as a team;

·         Ability to maintain complex records and files;

·         Good organizational, written & verbal communication skills with the ability to prioritize, multi-task, be self-motivated, detail-oriented and able to function efficiently within a fast paced and sometimes stressful environment;

  • Ability to deal effectively and patiently with the general public, other Township employees including management and municipal officials in a courteous, pleasant, tactful, professional and efficient manner;
  • Ability to work in a team-oriented environment with the ability to develop and maintain cooperative working relationships;
  • Ability to read, write, speak, understand or communicate in English sufficiently to perform the duties of this position.

PHYSICAL REQUIREMENT:

·         Ability to open and close file drawers at varying heights;

·         Ability to carry material weighing less than fifteen (15) pounds;

·         Ability to sit or stand for extended periods of time.

 

LICENSE, EXPERIENCE AND EDUCATION/CERTIFICATION:

 

·         High School Diploma or equivalent;

·         Prior office and computer experience, including maintenance of records is preferred;

·         Possession of a training certification is preferred.

Will be required to obtain a certificate of successful completion of announced computer or office management programs within probationary period. 

Successful candidate must be eighteen (18) years of age or older and reside in New Jersey unless otherwise exempted by law. Will be required to pass a pre-employment physical, drug screen and background / reference check. May be required to pass a written test and screening.

WAGES / BENEFITS:

$27.65 per hour / Pursuant to applicable Collective Bargaining Agreement (CBA) for Step 1.  All other benefits pursuant to USWU White Collar CBA.
